CREDENTIALS

Submission and approval of credentials is required to become eligible to sit certification examination of ECVN. Credential files should be submitted online to the Chairperson of the Credential Committee. Credentials online submission should be visible on your profile page once your third year annual report has been approved by the Education Committee. The complete credentials file must be received by the Chairperson of the Credential Committee before the submission deadline of 31st August 23h59 Central Europe Time, for those who wish to sit the exam the following February. 

Applicants are required to inform the Chairperson of the Examination Committee examcom@ecvn.org of their intention to sit an examination session before the 14st November 23h59 Central Europe Time of the previous year to the examination.

Credentials can be submitted before the end of the residency, as long as the residency programme ends in the same year (by 31st December) as the year of credential submission. Same deadline as above (31st August 23h59 Central Europe Time) applies for this submission.

If the candidate submits a successful credential file prior to completion of their residency programme, the credential file will only be preliminary approved until the letter from the Supervisor of the Residency Training Programme (certifying that the minimum requirement has been achieved) is received by the Chair of the Credential Committee once the residency programme has been completed.

Candidates must pass the examination within 8 years of completing the residency, irrespective of when they submitted their credential file (for residents starting after January 2022). The maximum period from the start of an approved Residency Training Programme to submission of an applicant’s credential file is 8-years for candidates that started before January 2022.

Evidence of publication (please submit the PDFs of the publications) or full acceptance of publication of two first author publications pertaining to veterinary neurology (please submit the email of acceptance from the journal editor). For publications in press, the credentials file should include a copy of the final accepted manuscript and figures

 

Payment of the Credentials Submission fees is availble once the Resident hast uploaded their file online and clicked on the submid button. Residents will have to pay by card or bank transfer. Once paid, your contribution appears in your "profile>contributions" section. If paid by Bank Transfer, the payment need to be approved manually by the treasurer: please contact treasurer@ecvn.org or for any support regarding payment issures

Make sure your contributions appear in your "profile>contributions" section. Contributions must be from the beginning of the Residency Training Programme up to the year of the examination. If you need any support, contact treasurer@ecvn.org.

Prerequisites for Online Submission

The ECVN website will allow you to submit your credentials only if:

If any of these steps has not been completed, the website will not allow you to submit your credentials. In this situation, please contact both the Chairperson of the Education Committee and the Chairperson of the Credentials Committee.


Online Submission Process

Once logged in, residents should see the following box on their profile page:

If you do not see this box, please send a screenshot of your profile page to both the Chairperson of the Education Committee and the Chairperson of the Credentials Committee (see Prerequisites for Online Submission).


Important Submission Instructions

You must upload all your credential files at once. Add all files using the “Add a file” button, and click “Submit” only after all files have been uploaded.
Failure to do so will require manual correction by the Chairperson of the Credentials Committee.


Payment of Credential Submission Fees

After submitting your credential documents, a new window will prompt you to pay the submission fees (Credit Card or Bank Transfer).
If you choose to pay by bank transfer, manual validation by the Treasurer will be required. Please email the Treasurer once the transfer has been completed so your payment status can be updated.

Q: How strict are the deadlines?
A: To be able to give every resident equal opportunity and to be able to allow credential committee to process all the applications in a timely manner, we expect all the residents to abide by the deadlines and don’t expect extension to the deadlines.


Q: My paper is under review, but it only needs minor changes. Could I submit my credentials?
A: Publications with acceptance pending minor changes will be provisionally accepted at the time of submission of the credentials file, provided proof of full acceptance without further amendment is received by the Chairperson of the Credential Committee before the next deadline for notification of the Chairperson of the Examination Committee of intention to sit an examination session. Evidence of minor revision status at the time of submission must be submitted to the Credentials Committee by the candidate. If no evidence can be submitted, if no clear statement of minor revision status is mentioned, or if revision status is ambiguous, the publication will be considered as pending major changes by default. Publications with acceptance pending major changes will not be accepted. If full acceptance is not received by this deadline, then the credentials will be considered as not accepted and the applicant will need to resubmit the entire credentials file. 


Q: My rotation supervisor is not a European specialist, would this be accepted?
A: The rotation supervisors must be Diplomates of European Board of Veterinary Specialisation (EVBS) or American Board of Veterinary Specialization (ABVS) recognised Colleges, or full University Professors. Specialists from other organisations are not accepted.


 Q: How much study time am I allowed during my residency?
A: It is a requirement that Residents have a suitable period of time free from clinical duty in order to: do library research, pursue clinical investigations, study, take courses or perform externships at other institutions. The minimum period of time free from clinical duty over the course of the Residency Training Programme should be the equivalent of one day per 5-day working week (minimum 9 weeks per year). Ideally, a minimum of one-week blocks of time, instead of individual days should be used.
